This guide is intended for Futurae customers that own any type of Futurae-supplied hardware devices, whether it be Hardware QR Code Token or Hardware TOTP Tokens. It aims to instruct on how to manage the tokens via the Command & Control (formerly Futurae Admin) interface.
For information about what a Hardware Token is, its lifecycle and assignment between different Users and Futurae Services in an Organization, we recommend that you read the respective Admin API Documentation section first.
Assign Hardware Tokens to your Organization
If your Hardware Tokens are not listed in Command & Control under "Service" >> "HW Tokens" menu, please check the following conditions:
- Confirm that you have selected the Organization (upper-right corner option), to which the Hardware Token was assigned to
- Ensure that the Hardware Token is not assigned to a User that belongs to a different Service. A Hardware Token device can only be assigned to Users within the same Service
- Be sure that you choose the right search criteria(Serial Numbers usually start with GALT or GAQT, HW Token ID is an UUID v4)
In case the situation persists, please get in touch with our support team at support@futurae.com or at support.futurae.com.
For inquiries about Hardware Tokens device acquisition, please contact our sales team.
Once you have the Hardware Token devices assigned to your Organization, they will be listed at Command & Control under the "Hw Tokens" tab.
Assign Hardware Tokens to a User
1. To assign a new User to a specific Hardware Token, first you need to click on the selected device, then click on “Assign to User” button.
2. On the next screen you just need to insert the Futurae User ID, press "Search" and finally confirm the assignment form pressing "Assign to User"
At this point the User will be able to perform 2FA authentication using the recently assigned Hardware Token device.
Unassign Hardware Tokens from a User
It is possible to unassign the Hardware Token device from a specific User, without impacting all other User assignments.
1. After selecting the HW Token you want to remove the user from, a list of assigned Users will be displayed. Select the desired User.
3. Head to the "Devices" tab of that User and press the More button and at last hit "Deactivate"
4. A confirmation dialog will pop up. Pressing "Deactivate" will unassign the HW token from the particular User.
At this point, the User will no longer be able to use the particular Hardware Token to perform Futurae authentication.
Archive a Hardware Token
If you don't wish to use a physical Hardware Token device any more you can archive it. Before you proceed, be sure about the decision of archiving the Hardware Token device, as this operation cannot be undone. Once the Hardware Token is archived, all assigned users will have the hardware device automatically unenrolled.
To archive a Hardware Token, please refer to our Admin API documentation.
Dispose a Hardware Token device
After archiving Hardware Tokens, you can ship them back to Futurae to the address below, so that we can take care of disposing it:
Futurae Technologies AG
Eichstrasse 23
8045 Zürich
